2021 Elections

The William States Lee College of Engineering Alumni Council is now holding annual elections for Student Representative, Officer, Committee Chair, and Member positions! Responsibilities and application details are listed below:

STUDENT REPRESENTATIVES

The College of Engineering Alumni Council will be selecting two undergraduate students, one masters student, and one doctoral student to serve as Student Representatives for the next Fiscal Year (July 1, 2021 – June 30, 2022)! Student Representatives will serve on the Alumni Council to help bridge the gap between current students and alumni and generate ideas for future engagement. Representatives should expect to attend the Alumni Council quarterly meetings (4) and Student & Alumni Engagement Committee meetings (2-4) during the term. Students should also join the Council at various College of Engineering events throughout the year, which will allow them to network with other alumni in the industry. Currently, meetings and events are being held virtually, and take place during the evenings. If you are interested in serving on the Council, fill out the Google form application by Sunday, April 11 (11:59 p.m.). Virtual interviews (15 minutes) with the Alumni Council’s Student & Alumni Engagement Committee will take place from Monday, April 19 through Thursday, April 22, and final decisions will be announced on Wednesday, April 28. If you are selected as a Student Representative, you should try to attend the final Alumni Council meeting of the 2020-2021 term on Monday, May 17 in order to vote on next year’s leadership. ALUMNI POSITIONS

Alumni outside of the Charlotte area are welcome to join the Council, as meetings will allow for virtual attendance.

CHAIR

  • Serve a two-year term corresponding to the Council’s Fiscal Year (July 1, 2021 – June 30, 2022).
  • Serve as the Chair of the Council and its Executive Committee (consisting of Chair, Vice Chair, Secretary, Treasurer, and Committee Chairs);
  • Lead the Alumni Council in achieving goals and expectations and build a cohesive team amongst the Council’s Executive Committee and Members;
  • With the Vice Chair, oversee Committee business. Serve as an ex-officio and advisory member of all Standing and Ad Hoc Committees of the Council. Attend Committee Meetings to advise and support their Members, projects, and initiatives. Follow up with Committee Chairs on their progress when necessary.
  • With the Director of Alumni Affairs and External Constituents, call special meetings of the Council;
  • Represent College of Engineering alumni and the Council on the University’s Alumni Board of Directors. In the case of an absence from an ABOD meeting, the Chair shall communicate with Alumni Association staff in order to receive necessary updates.

VICE CHAIR

  • Serve a two-year term corresponding to the Council’s Fiscal Year (July 1, 2021 – June 30, 2022).
  • Assist the Chair with leading and coordinating the Alumni Council;
  • With the Chair, oversee Committee business. Serve as an ex-officio and advisory member of all Standing and Ad Hoc Committees of the Council. Attend Committee Meetings to advise and support their Members, projects, and initiatives. Follow up with Committee Chairs on their progress when necessary;
  • Fill in for the Chair when s/he is unable to attend and/or speak at events or meetings, including the Alumni Council, and Executive Committee.

SECRETARY

  • Serve a two-year term corresponding to the Council’s Fiscal Year (July 1, 2021 – June 30, 2022).
  • Collaborate with Alumni Affairs office, Chair, and Vice Chair to draft meeting agendas and distribute to all Council members prior to meetings;
  • Take minutes and attendance at quarterly Council meetings and distribute to all Members within one week following meetings;
  • Schedule quarterly Council meetings with Alumni Affairs office, Chair, Vice Chair, and Committee Chairs;
  • Chair the Governance Committee.

TREASURER

  • Serve a two-year term corresponding to the Council’s Fiscal Year (July 1, 2021 – June 30, 2022).
  • Collaborate with the Director of Alumni Affairs and External Constituents on Alumni Council Member dues. The Treasurer will be responsible for contacting Council Members regarding payment deadlines and delinquency.
  • Serve as the liaison for the University’s annual fundraising campaign;
  • Update Members on College of Engineering crowdfunding campaigns for student projects;
  • Take minutes and attendance at quarterly Council meetings in the absence of the Secretary and distribute to all Members within one week.

COMMITTEE CHAIRS

COMMITTEES: COMMUNITY SERVICE, DIVERSITY, LEADERSHIP ACADEMY, STUDENT & ALUMNI ENGAGEMENT

  • Lead his/her selective Committee for a two-year term by building a cohesive team amongst Committee members.
  • Oversee and manage all Committee activities; regularly collaborate with and updates Vice Chair and Alumni Affairs office on plans, activities, and progress.
  • Schedule and lead 2-4 annual meetings (in-person and/or virtual) with Committee members.
  • Collaborate with Vice Chair to create meeting agendas; distribute agendas to all Committee members and Alumni Affairs office in advance of meetings.
  • Take minutes at Committee meetings; distribute to all members, Vice Chair, and Alumni Affairs office following meetings.

MEMBERS

Members attend the general Alumni Council and Committee meetings in order to provide input and ideas on engagement programming, as well as vote on important business. All alumni who submit a completed Member application will be approved for the position, and serve one-year terms, which may be renewed annually.

EXPECTATIONS (ALUMNI positions ONLY)

  • Sign a confidentially agreement from the University’s Alumni Association office within the first 30 days of the term.
  • All Officers (Chair, Vice Chair, Secretary, Treasurer) and Committee Chairs are expected to attend 75% of Council meetings consisting of: the four quarterly all-Council meetings, Executive Officer and/or Executive Committee meetings, and any Committee meetings corresponding with their elected position. Attendance can be either in person or virtual.
  • All Members are to attend at least 50% (or two out of the four) all-Council, pre-scheduled meetings during the Fiscal Year. Attendance can be in person or virtual.
  • Attend at least one College of Engineering event or program, either in-person or virtual, during the Fiscal Year.​​
  • Make an annual donation of at least $50 to any College of Engineering department, fund, or scholarship within three months of election to the Alumni Council. In cases of financial hardships, the Officer or Member should speak with the Director of Alumni Affairs and External Constituents and Treasurer to discuss an alternative deadline, payment plan, or donation waiver.

ELECTION TIMELINE

Monday, April 5

– Alumni Council meeting (7-8:30pm) and application form opens Wednesday, April 28 (11:59 p.m.) – Applications due Monday, May 3-Thursday, May 7 – Candidate virtual interviews (15 minutes) with Nominations Committee Wednesday, May 12 – Nominations Committee confirms slate; candidates notified Monday, May 17 – Quarterly Alumni Council meeting & voting

If you are interested in joining the Alumni Council, please fill out the online Nomination Form and submit by Wednesday, April 28 (11:59 p.m. EST)! Voting will take place at the May 17th (7:00 – 8:30 p.m.) virtual meeting, which you should plan on attending.
